What this Statement covers.

This Privacy Statement explains how The Roll LLC collects, uses, discloses, retains, and protects personal information when a person applies for recognition, selects or maintains a membership, communicates with The Roll, attends an experience, contributes content, or otherwise uses a Roll service where this Statement is provided.

1 Who is responsible for the information

The Roll LLC is responsible for the personal information covered by this Statement. References to "The Roll," "we," "us," and "our" mean The Roll LLC. Our contact information appears at the end of this Statement.

2 Information we collect

The information we collect depends on how a person interacts with The Roll and may include the following categories.

Identity and contact information. A person's name, email address, mobile number, city, state, mailing information when needed, and other information used to identify or contact the person.

Application information. Responses provided in an application for recognition, including interests, goals, values, community-participation preferences, referral information, acknowledgments, and optional comments.

Membership and fulfillment information. Membership type, acceptance and selection status, member number, membership and renewal dates, credential status, benefit delivery, participation history, and related administrative notes.

Payment and transaction information. For paid memberships or purchases, payment status, amount, date, transaction identifier, billing contact information, refunds, disputes, and limited payment-method details made available by the payment processor. Payment-card numbers and security codes are entered directly with the payment processor and are not intended to be stored by The Roll in its membership records.

Communications and support information. Emails, support requests, survey responses, preferences, complaints, reports, and other information a person sends to or receives from The Roll.

Community and submitted content. Questions, recommendations, listings, stories, comments, photographs, recordings, feedback, and other content a person chooses to submit for The Roll Circle, Registry, Brief, events, advisory activities, or other community features.

Event and participation information. Event registration, attendance, accessibility or accommodation requests, emergency or safety information voluntarily provided for an activity, and records reasonably necessary to administer an experience.

Conduct and safety information. Reports, relevant messages or documents, witness information, review notes, restrictions, and outcomes associated with a possible violation of the Code of Conduct or another safety concern.

Technical information. Jotform, Google, Stripe, email providers, and other service providers may automatically collect information such as an internet protocol address, browser or device details, timestamps, cookies, and service-usage information when their services are used. Their collection is also governed by their own notices and settings.

3 How we collect information

We collect information:

  • directly from applicants, members, guests, contributors, and people who communicate with us;
  • through Jotform forms, Google Workspace, email, Stripe payment pages, event registrations, surveys, and other tools used to operate The Roll;
  • from another member or participant when that person makes a referral, submits community content, or reports a concern;
  • from venues, hosts, service providers, or public authorities when reasonably necessary for an event, safety review, transaction, or legal obligation; and
  • automatically through the technologies operated by our service providers.

4 How we use information

We may use personal information to:

  • receive, review, and respond to applications for recognition;
  • create, administer, verify, renew, suspend, or end a membership;
  • process membership selections, payments, refunds, and transaction records;
  • issue credentials and deliver membership resources, benefits, notices, and communications;
  • respond to questions, requests, preferences, and support needs;
  • operate The Roll Circle, Registry, Brief, Hub Houzz experiences, conversations, advisory activities, and other community services;
  • plan and administer events, including accessibility, safety, and attendance needs;
  • review possible Code of Conduct violations, protect people and property, prevent fraud or misuse, and enforce our agreements and policies;
  • maintain accurate records, analyze participation, improve our services, and plan future offerings;
  • comply with law, respond to lawful requests, establish or defend legal claims, and protect our rights; and
  • carry out another purpose disclosed when the information is collected or authorized by the individual.

5 How we disclose information

We do not sell or rent personal information. We do not disclose personal information to unrelated third parties for their own advertising or marketing.

We may disclose personal information in the following limited circumstances:

Service providers. We use providers such as Jotform, Google Workspace, Stripe, email services, event or venue providers, and technical or professional service providers to perform work on our behalf. They may process information only as permitted by their agreements, instructions, and applicable law.

Community features. Information intentionally submitted for a community feature may be displayed to the people for whom that feature is designed. For example, a Registry listing or Circle contribution may be visible to participating members. The context of the submission and any notice provided with the feature determine the intended audience.

Legal, safety, and rights. We may disclose information when we reasonably believe disclosure is required by law or legal process, is necessary to respond to an emergency or protect a person's safety, helps prevent fraud or misuse, or is appropriate to protect the rights, property, security, or integrity of The Roll, its members, or others.

Business changes. Information may be disclosed as part of a proposed or completed financing, reorganization, merger, sale, transfer, or similar change involving all or part of The Roll LLC, subject to appropriate confidentiality and legal protections.

With permission. We may disclose information when the individual directs us to do so or gives permission.

6 Photographs, recordings, and publication

We will provide separate notice and seek appropriate permission before using an identifiable member's image or voice in The Roll's promotional materials. Attendance at an event does not, by itself, authorize promotional use of an identifiable person's image or voice. Event-specific notices may explain incidental photography or recording and the choices available to participants.

We will seek permission before publishing a member's story, recommendation, photograph, recording, or other submission in The Roll Brief or promotional materials, unless the person submitted it through a feature that clearly stated the intended publication and audience. Information intentionally submitted for the Circle or Registry may be displayed there for the feature's stated purpose.

7 Email and mobile communications

We use email to provide application decisions, membership information, credentials, benefits, event notices, service updates, community communications, and requested support. A recipient may use the unsubscribe method provided in a promotional email or contact us to change communication preferences. We may still send nonpromotional messages reasonably necessary to administer an application, transaction, event, active membership, safety matter, or legal notice.

We use mobile numbers only for essential application, membership, event, safety, or requested-support contact. We will not send promotional or recurring marketing text messages without separate consent and an appropriate opt-out method.

8 Retention

We generally retain ordinary application and membership records for the period reasonably needed to administer the relationship and for up to three years after an application is closed or a membership becomes inactive. We generally retain financial and transaction records for up to seven years.

We may keep particular information longer or delete it sooner when reasonably appropriate for safety, fraud prevention, dispute resolution, enforcement, backups, recordkeeping, or a legal obligation. When information is no longer reasonably needed, we will delete it, deidentify it, or securely dispose of it, subject to operational and legal limitations.

9 Security

We use reasonable administrative, technical, and physical safeguards designed for the nature of the information and the size and operation of The Roll. These measures include limiting access to people who reasonably need the information and using established service providers for forms, records, communications, and payments. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.

A person who believes information connected with The Roll has been lost, misused, or accessed without authorization should contact us promptly at [email protected].

10 Individual choices and requests

A person may contact us to:

  • ask what personal information we maintain about that person;
  • request a copy of or correction to that information;
  • request deletion of information;
  • withdraw a consent for future use when the processing depends on consent; or
  • change email or communication preferences.

We may need to verify the requester's identity before acting. We may deny or limit a request when retaining or using the information is reasonably necessary for financial records, safety, fraud prevention, an active transaction or membership, enforcement of an agreement, protection of another person's privacy, establishment or defense of legal claims, or compliance with law. We will also honor additional rights required by applicable law.

11 Information about other people

A person who provides information about someone else must have an appropriate reason and any permission required to do so. The person should not submit sensitive, confidential, or unnecessary information about another individual. Referrals do not authorize The Roll to add the referred person to recurring promotional communications without an appropriate basis or consent.

12 Age eligibility

The Roll's membership services are intended only for people who are at least 21 years old. We do not knowingly accept membership applications from people under 21. If we learn that an ineligible person's information was submitted, we may delete it after addressing any safety, transaction, or legal need.

13 External services and links

The Roll may provide links to or interact with services operated by other organizations, including form, payment, event, venue, merchant, and community partners. Their privacy practices are governed by their own notices. The Roll is not responsible for an outside organization's independent privacy practices.

14 Changes to this Statement

We may update this Statement when our services, practices, providers, or legal obligations change. We will revise the date above and provide reasonable notice of a material change, such as by email or through the method then used to provide member notices. A change will apply prospectively unless law permits or requires otherwise.
